# Members and roles

> The four roles and what each can do, inviting a teammate with a link, changing a role, removing someone, and transferring ownership.

**Settings → Users & Roles** is who has access to this workspace, what their
role lets them do, and how much they are handling. It holds the member roster,
outstanding invitations and the team performance report.

## The four roles

| Role       | Can do                                                                                                                                                                                              |
| ---------- | --------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Owner** | Everything an admin can, plus: see and change the plan, pay, cancel the renewal, and hand the workspace to someone else. Exactly one per workspace. |
| **Admin** | Invite, remove and re-role members. Edit workspace settings — custom fields, default currency, phone country, integrations, AI agents, forms, the website widget. Everything the Agent role can do. |
| **Agent** | Work the product: send messages, create and edit contacts, move deals, run broadcasts, build automations and flows. No settings and no member management. |
| **Viewer** | Read-only across the app. Cannot send or edit anything. |

Roles are ranked, so anything an Agent can do an Admin can do too.

<Note>
  A **member** is a person. An **AI agent** is software. The role spelled
  "Agent" here is always the human one.
</Note>

### What each role decides, in practice

|                                                | Owner | Admin | Agent | Viewer |
| ---------------------------------------------- | ----- | ----- | ----- | ------ |
| Read contacts, conversations, deals, templates | Yes | Yes | Yes | Yes |
| Send messages, edit contacts, move deals | Yes | Yes | Yes | No |
| Create and edit automations and flows | Yes | Yes | Yes | No |
| Manage canned replies                          | Yes   | Yes   | Yes   | No     |
| Invite, remove and re-role members             | Yes   | Yes   | No    | No     |
| Custom fields, default currency, phone country | Yes | Yes | No | No |
| Connect integrations and configure AI agents | Yes | Yes | No | No |
| Create and revoke API keys | Yes | Yes | No | No |
| Rename the workspace and set its logo | Yes | Yes | No | No |
| See **Plan & billing**, pay, cancel            | Yes   | No    | No    | No     |
| Transfer ownership                             | Yes   | No    | No    | No     |

Your role is **per workspace**. If you belong to several, you may be the owner
of one and an Agent in another; the switcher shows which role you hold in each.
See [Workspaces](/getting-started/workspaces).

## The roster

Each row shows the member's avatar with a presence dot (online, away or
offline), their name and email, when they joined, and their role. Your own row
is marked **You**. A summary line above the list counts who is online, away and
offline.

## Inviting a teammate

Invitations are **links**, not emails — Watx generates one and you share it
however you like.

<Steps>
  <Step title="Open the dialog">
    Press **Invite member** (admins and the owner only).
  </Step>

  <Step title="Choose the role">
    **Admin**, **Agent** or **Viewer**. The dialog describes each as you pick
    it. You cannot invite someone as owner.
  </Step>

  <Step title="Choose how long the link lives">
    **1 day**, **7 days** or **30 days**. Seven is the default.
  </Step>

  <Step title="Add a label (optional)">
    Up to 80 characters, for example `Sara — support team`. It only ever appears
    in your pending list, to remind you who you sent the link to.
  </Step>

  <Step title="Generate and share">
    Press **Generate link**. Copy it, or press **Send via WhatsApp** to open a
    pre-filled message naming the workspace and how long the link is valid.
  </Step>
</Steps>

<Warning>
  **The link is shown once.** Watx stores only a hash of it, so there is no
  "copy again" button and no way to recover it. If you lose it, revoke the
  pending invitation and create a new one.
</Warning>

Inviting counts against your plan's **team members** limit — if the workspace is
at the cap, creating the invitation is refused with the number you have used.
See [Plans and billing](/getting-started/plans-and-billing).

What the invitee sees when they open the link — including what happens if they
have no account yet — is on [Signing in](/account/sign-in).

### Pending invitations

Below the roster, admins and the owner see every invitation that has not been
accepted and has not expired, with its role, when it was created and when it
expires. **Revoke** kills the link immediately.

Accepted and expired invitations drop off the list.

## Changing someone's role

Admins and the owner can change a role from the dropdown on that member's row.
Three rules:

* The **owner's row cannot be changed** here.
* You cannot change **your own** role.
* **Owner is never an option.** Promoting someone to owner is a transfer, not a
  role change.

The change takes effect immediately.

## Removing a member

Press the delete button on their row (admins and the owner; never on the owner's
row, never on your own). The confirmation says what happens:

* they lose access to **this** workspace immediately;
* any **other** workspace they belong to is untouched;
* their **login is not deleted**.

<Note>
  Watx does not create a replacement workspace for someone you remove. If it was
  their only one they will see "You're not in any workspace" — a real state, not
  an error — and an invite puts them straight back.
</Note>

## Transferring ownership

There is exactly one owner per workspace, and the owner is the one the plan is
billed to. Ownership transfer is **not self-serve today** — contact
[support@watx.in](mailto:support@watx.in) and we will move it, along with the
subscription.

<Warning>
  A login can own only one workspace at a time today. If the person you want to
  hand it to already owns a workspace of their own, the transfer is refused —
  tell us and we will work out the right arrangement with you.
</Warning>

## Team performance

Below the roster on the same page is the **team performance** report, covering
how much each member is handling. It sits here on purpose: access first, then
output. See [Team performance](/contacts/team-performance).
