# Workspaces

> One login can belong to several workspaces. How to switch, how membership is granted, and what happens when you belong to none.

A **workspace** is one business's tenant in Watx. Everything — contacts,
conversations, templates, automations, integrations, the plan — belongs to
exactly one workspace, and no workspace can see another's data.

One login can belong to any number of workspaces, with a different role in each.
That is how an agency administers a dozen clients without a dozen passwords.

## Switching workspace

The switcher is the **first row of the sidebar**, above every link whose
contents it decides. It shows the active workspace's logo and name; click it to
see the rest.

Each row in the menu shows:

* the workspace name and logo,
* **the role you hold there** — you might be the owner of your own workspace and
  an Agent in a client's, and that changes what the next screen lets you do,
* the plan it is on,
* a dot and a short phrase when it needs attention.

<Note>
  The switcher renders even when you have one workspace — as a plain chip with
  no chevron. When the sidebar is collapsed the name hides but the logo does
  not, so the answer to "whose data am I looking at?" is always on screen.
</Note>

Choosing a workspace reloads the page. That is deliberate: every realtime
subscription and cache in the dashboard is keyed to a workspace, and a soft
switch would leave the previous one's live subscriptions running — which means
one client's messages arriving in another client's inbox.

Your choice is remembered, so a different device opens the same workspace.

### Standing dots

| Dot | Meaning | Does the workspace still work? |
| ------------------------------ | ---------------------------------------------- | ---------------------------------------- |
| Red — **Subscription expired** | The trial or subscription has lapsed. | No. Sending and creating are paused. |
| Amber — **Payment overdue** | A renewal payment failed and is being retried. | **Yes.** This is dunning, not a lockout. |
| Grey — **Setup unfinished** | The welcome wizard was never completed. | Not yet. |

The switcher also stays available on the billing and welcome screens, so an
agency bounced there because of **one** lapsed client can get back to a
workspace that works.

## Choosing a workspace after sign-in

If you belong to more than one workspace, signing in takes you to **Choose a
workspace** first, listing each with your role, its member count and its
standing. If you belong to one, or none, Watx forwards you straight through and
you never see that screen.

## How membership is granted

There are two ways into a workspace, and self-serve workspace creation is not
one of them today:

1. **An invite link.** An owner or admin generates one from **Settings → Users &
   Roles**, with a role attached, and shares it however they like. Accepting it
   adds a membership; nothing you already have is moved or deleted. See
   [Members and roles](/settings/members-and-roles).
2. **Watx support attaches your existing login** to a workspace that already
   exists — useful when the person who should own it already has an account.

<Note>
  Signing up **through an invite link** does not create a personal workspace for
  you. You join the workspace that invited you and that is the only one you are
  in — otherwise every invited teammate would permanently own an empty, unpaid
  workspace they never asked for.
</Note>

If you accept an invite for a workspace you are already in, Watx says so and
takes you to the dashboard rather than treating it as an error.

## Belonging to no workspace

"You're not in any workspace" is a real state, not a bug. It happens when you
are removed from — or leave — the last workspace you belonged to.

Watx deliberately does **not** conjure a replacement empty workspace for you.
Your login still exists and your other memberships, if any, are untouched. To
get back in, ask an owner or admin for an invite link; accepting one puts you
straight back.

## Renaming a workspace and changing its logo

Admins and the owner can rename the workspace and change its logo from
**Settings → Your profile**, on the workspace card below your own details. The
name appears in the sidebar, the header and every invite link.

## One plan per workspace

A workspace has one plan and one person who pays for it — the owner. Invited
teammates are entitled by the workspace they are in; they are never asked to buy
their own plan, and they do not see the billing screen. See [Plans and
billing](/getting-started/plans-and-billing).
